Oilfield Distribution
The Oilfield Distribution module supports single or multiple field store locations, with an option to set up a central Distribution Centre to allow you to replenish your field stores from a central warehouse.
Discovery has automated Oilfield distributors that specialize in a few types of inventory and distributors who carry all types of inventory. Examples of inventory types include: valves, fittings, stainless steel products, oil country tubular goods, chemical products, drilling fluids, down hole tools, motors, submersible pumps, top of well equipment, blow out preventer's, etc.
The types of inventory in Discovery can have unique transactions and traceability requirements. For example, some types are serial number products, some have joint counts, some need to trace lot numbers, mill certifications, MTR and heat numbers, some have MSDS sheets attached, etc.
Transactions
The Oilfield Distribution module automates the sales order process at the field store and the inventory replenishment system (either from a central Distribution Centre or replenished by the field store). Discovery’s sales order desk provides a central point of entry for the field store staff to:
- Place a customer order
- Provide a quote
- Look up stock status at their location and all other locations
- Look up new, consigned or customer inventory
- Look up customer past purchases
- Copy a past customer order
- View customer credit and outstanding AR
- View other customer locations (ship to locations or bill to locations)
- Record well name, well site directions, AFE number, rig number and LSD
- View Customer Relationship Management (CRM) information: demographics, contacts, current projects, tasks and notes
- View customer specific pricing
- Process a customer buyout (purchase inventory or non-inventory items specifically for this customer)
A unique feature in Discovery’s Oilfield Distribution module is the ability to create a running order for a customer. Customers often want to have one invoice for all the products they purchase for the rig or well for the month. Running orders allow you to ship products multiple times to a customer’s well site or rig location and create a summary invoice to the customer at the end of the month or the end of the well program.
Each shipment on a running order reduces inventory immediately so that all the stores view accurate stock status. A shipment also immediately credits revenue and COGS GL accounts and sets up a deferred Accounts Receivable (AR) entry. When you close a running order and create a summary invoice, the system moves deferred AR to current AR and creates a summary invoice (without creating the revenue and COGS entries again). The summary invoice is attached to all of the shipments that were made to the customer for traceability and reconciliation. Each shipment produces a delivery ticket with a unique number that is derived from the running order number. Shipments also include returns from the customer.
Discovery’s inventory replenishment module is very flexible and supports several types of purchasing models including: min/max, sales forecasting, order cycles and non-inventory purchasing. The replenishment module can be used in a Distribution Centre environment or in a store by store environment (where each store does their own purchasing) or in a combination where some inventory products are purchased by the DC and some by the field stores.
The replenishment system provides the purchaser with a central display to view all of the details they need to support their purchasing decisions including past sales performance, vendor performance (lead times and returns), sales forecasts (optional), prime and secondary vendors and buyout analysis (how often is the same buyout item purchased). Seasonal and superseded items are supported as well.
Management Information
The Oilfield Distribution module provides management with daily sales activity, daily purchasing activity (including tracking buyouts separately), margin analysis by customer, by product, by territory, and transaction exceptions.
Integration
The Oilfield Distribution software integrates to Discovery’s other Oilfield operational modules (see Products) and to Discovery’s accounting and financial system modules. All Discovery modules support multi-company, multi-branch and multi-currency operations.
The user productivity tools built into Discovery’s Technology Platform are available in the Oilfield Field Store Distribution software including SQL wild card searches, drop down lists, integration to spreadsheets and Email, user defined views and document attachments.
